Information we collect
We collect only what is needed to operate the site and respond to enquiries: details you submit through forms (name, email, message), and basic server logs (IP address, browser type, request time) kept for security and diagnostics. To count visits we use Umami Cloud, a cookieless analytics service. For each page view it records the address and title of the page, the referring site, the time, your browser, operating system, device type, language and screen size, and an approximate location (country, region, city); query strings are not sent. Umami also measures how quickly each page loads, renders and responds in your browser (the Core Web Vitals LCP, INP, CLS, FCP and TTFB) and sends these timings with the same page details. Umami uses your IP address and browser user-agent to work out that location and a pseudonymous visitor code. The code changes every month and differs per website, and Umami states that the IP address itself is not stored. Umami can therefore recognise a returning visitor within the same month, but cannot link your visits to other websites. We do not run advertising trackers on ivc.nu.
How we use your information
Form submissions are used to reply to you and to deliver the service you requested (newsletter, membership, ticket enquiry). Server logs are used to detect abuse and to keep the site available. Visit statistics show us which pages are read and how quickly they load, so we can improve the site. Umami Software, Inc. (San Francisco, United States) processes the visit statistics on our behalf under a data processing agreement (umami.is/dpa). Umami and most of its subprocessors (umami.is/subprocessors) are based in the United States; transfers outside the EEA rely on the European Commission's Standard Contractual Clauses in that agreement, and you can ask us for a copy. We do not sell, rent, or share your data with third parties for marketing.
Legal basis
We process personal data on the basis of your consent (forms, newsletter), the performance of an agreement (Friend memberships, ticket purchases), and our legitimate interest in operating a secure website (server logs) and in understanding how the site is used and how well it performs (visit statistics).
Retention
Form submissions are retained for as long as needed to handle your request and to meet legal accounting obligations. Server logs are rotated within 30 days. Visit statistics are kept by Umami for the retention period of our Umami Cloud plan (between six months and five years) and are then deleted; they contain no data that directly identifies you. Friend membership records are kept for the lifetime of the membership plus the statutory tax-archive period.
Candidates, volunteers, host families, Friends, musicians and jury records
The IVC also keeps records specific to competition participation: a candidate file (contact details, voice type, CV and, where relevant, payment data), a volunteer and host-family file (contact details and sometimes a bank account number), a Friends file (handled under the same rules as volunteers and host families), musicians' contract files (including VAT and BSN fiscal numbers for payment), and the juries' handwritten assessment records, archived for possible later historical interest and not otherwise disclosed to third parties.
Your rights
You have the right to access, correct, or delete the personal data we hold about you, to restrict or object to processing, and to data portability. You can object to visit statistics at any time on our cookie page, where one click stops Umami from counting your visits in that browser. To exercise any of the other rights, or to file a complaint, contact us using the details below. You may also lodge a complaint with the Dutch Autoriteit Persoonsgegevens.
